Saving Files as PDFs for Proofing
|
MAC & PC 5.0
- Open Acrobat Distiller.
- Select 'Screen' from the Job Options menu on the main screen.
- Go to the Settings - Job Options pull down menu. Click the Fonts tab and make sure there is a check mark next to "Embed all fonts." Hit OK.
- Go to File - Open and choose the location of the Postscript file (EPS or PS) you wish to distill -- you may need to change the Files of Type box to ‘All Files’ if your EPS or PS file doesn’t appear in the selector window. Hit OK.
- When the save dialogue box pops up, choose where you'd like your PDF saved and what you'd like to call it. Hit OK.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

MAC 3.0
- Open Acrobat Distiller.
- Go Distiller Job Options from the pull down menus. Click the Font Embedding tab and make sure there's a check mark next to "Embed All Fonts." Hit OK.
- Go to File - Open and choose the location of the Postscript file (EPS or PS) you wish to distill. Hit OK.
- The save dialogue box pops up, choose where you'd like your PDF saved and what you'd like to call it. Hit OK.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

- Open Freehand. Open the file you want to distill.
- Go to File - Export from the pull down menus. Choose a file name, destination and select PDF from the format menu.
- Click the Options button and make sure there is no check next to ‘Editable Text Format’. Hit OK. Hit Export.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

MAC 9.0
- Open Illustrator. Open the file you want to distill.
- Go to File - Save As from the pull down menus. Choose a file name, destination and select Adobe PDF from the format menu. Hit Save.
- Choose ‘Screen Optimized’ from the Options Set menu and make sure there is a check mark next to ‘Embed All Fonts’. Hit OK.
- Hit OK if another box appears.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

MAC 8.0
- Open Illustrator. Open the file you want to distill.
- Go to File - Save As from the pull down menus. Choose a file name, destination and select Adobe PDF from the format menu. Hit Save.
- Choose ‘Web Ready’ from the PDF Options Set menu and make sure there is a check mark next to ‘Embed All Fonts’. Hit OK.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

MAC 1.5
- Open InDesign. Open the file you want to distill.
- Go to File - Export from the pull down menus. Choose a file name, destination and select Adobe PDF from the format menu. Hit Save.
- Choose ‘Low Resolution’ from the Images menu. Click on the PDF Options menu and select Compression. Change all numerical values to ‘72’. Hit Export.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

MAC & PC 7.0
- Open PageMaker. Open the file you want to distill.
- Go to File - Export - Adobe PDF from the pull down menus.
- Click the General tab. Select 'Screen' from the Distiller Settings menu.
- Hit the Edit Job Options button and click on the Fonts tab. Check the box next to ‘Embed All Fonts’ and hit OK. You will be prompted to save your new settings -- choose a file name and hit Save.
- Hit the Export button and choose a file name and destination. Hit Save.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

MAC 6.5
- Open PageMaker. Open the file you want to distill.
- Go to File - Export - Adobe PDF from the pull down menus. Make sure ‘Distill Now’ is selected and check the box next to Override Distiller Options.
- Click the Edit button on the right side of the screen. Make sure there is a check mark next to ‘Embed All Fonts’. Hit OK.
- Hit the Export button and choose a file name and destination. Hit save.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.
PC 6.5
- Open PageMaker. Open the file you want to distill.
- Go to File - Export - Adobe PDF from the pull down menus. Make sure Distill Now is selected and check the box next to ‘Override Distiller Options’.
- Click the Edit button on the right side of the screen. Make sure there is a check mark next to ‘Embed All Fonts’. Hit OK.
- Hit the Export button and choose a file name and destination. Hit Save.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

- Open Photoshop. Open the file you want to distill..
- Go to File - Save As from the pull down menus. Choose a file name, destination and select ‘Photoshop PDF’ from the Format menu. Hit Save.
- Hit OK when the next box appears.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

MAC 4.0
- Open Photoshop. Open the file you want to distill.
- Go to File - Save As from the pull down menus. Choose a file name, destination and select ‘Photoshop PDF’ from the Format menu. Hit Save.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

- Open Quark XPress.
- Go to Utilities - Export as PDF on the pull down menus. Click the Preferences button.
- Click on the Job Options tab and click on the box next to ‘Override Distiller’s Job Options’. Make sure there’s a check mark in the box next to ‘Embed All Fonts’. Hit OK.
- Select the location where you want to save your PDF, a file name and the range of pages to distill. Hit OK.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

PC 4.1
- Open Quark XPress.
- Go to File - Save Page as EPS. Choose the filename, location and page range and hit Save.
- Open Acrobat Distiller.
- Select 'Screen' from the Job Options menu on the main screen.
- Go to the Settings - Job Options pull down menu. Click the Fonts tab and make sure there is a check mark next to "Embed All Fonts." Hit OK.
- Go to File - Open and choose the location of the Postscript file (.EPS) you just created. Hit OK.
- When the save dialogue box pops up, choose where you'd like your PDF saved and what you'd like to call it. Hit OK.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

- Open Publisher. Open the file you want to distill.
- Go to File - Print from the pull down menus. Choose a file name and destination for your file. Hit Save.
- Follow the instructions listed for ACROBAT at the top of this page.
- Double check your PDF in Acrobat Reader and verify that what you see is exactly what you want to print.

- Open Word. Open the file you want to distill.
- Go to File - Print from the pull down menus. Choose a file name and destination for your file. Hit Save.

- If the program your file is created in does not appear in this list, try making a Postscript File from the program. This can often be done through either the ‘Save’ or ‘Print’ dialogue boxes. From there you can generally create a PDF of the file using Adobe Acrobat Distiller.
