Direct mail data processing contains a number of steps to help you get the best postage rate for your mailings. Listed below are three of the basic services Mailhaus provides; if you need further information or assistance, contact us!

We receive files in a wide variety of formats and on a number of different types of media. When we import your data into our system, we convert the information into a standard format which is easily manipulated by our software.

During the process of address standardization the individual elements of the address are separated and individually modified to the acceptable USPS abbreviations. The address is then matched to the National Zip+4 directory; If a match is found, the “+4” code is added to the address. Several other data elements are included in this enhancement as well: the Carrier Route, Line of Travel, Delivery Point, as well as a number of return and footnote codes. These elements are required for either Carrier Route or Automated postage discounts. The documentation received from this processing is the CASS report which is also called Form 3553.

Once the addresses are put into standardized format, direct mail software sequences them into a stream that can be easily sorted by the mail staff after addressing or inserting. The documentation created by this process, termed in the Direct Mail Manual as standardized documentation, is a necessary element in the submission of the mailing to the USPS. This documentation must accompany the mailing statement as a means for the USPS verification personnel to approve your mailing’s acceptance into the mail stream. Additionally, the presort software creates bar-coded tray or sack labels, also a requirement for any automation rate mailing.

Finally, the correctly sequenced output data file is produced. Most presort software has a wide variety of output options to meet the wide variety of data file specifications required by lettershops. It is advantageous for the mailing house to work directly with the print production facility -- this prevents surprises with the data file preparation. Quality control for the data is much more difficult and in some cases impossible for the mailer if the presorted data file is created elsewhere.



TIPS FOR SUCCESS

Diskette should be labeled with:

·         Company name

·         PO or job number

·         file names to be used

·         number of records on disk

·         file format type

If file layout and record dump are required, please provide the following:

·         file format with explanation of field names, field length and record length

·         number of records in file

·         blocking factor and individual block size (tapes only)

·         file dump of a portion of the file (tapes only)

You may send us your printed materials for mailing via the following methods:

·         USPS

·         Freightline (we are dock height)

·         courier service

Before sending your job, ask yourself these questions:

·         Have you provided a sample of the job with pages in the proper order and any special notes pertinent to the mailing?

·         Is your data supplied in an acceptable format and on acceptable media?

·         Are you certain your data is set up correctly? If not, please call us for assistance.

·         Have you included the proper amount of funds for postage? We cannot start your project until postage is paid in full.
